Planning an Outdoor Community Activation? Your Essential Event Checklist
Community activations bring people together through interactive entertainment, music, art, and shared experiences. With the right plan, these types of events are SO fun! But whether you're planning an outdoor festival, holiday celebration, or community event, thoughtful production planning makes all the difference.

Love the idea of planning but don’t have the time? Entertainment design is included in every Ignight package, or let it be even easier with our full service event planning.
1. Weather & Outdoor Readiness
Monitor weather forecasts and establish weather decision deadlines. We recommend before any vendors set up OR at least 6 hours before event start time.
Create a rain, snow, and high-wind contingency plan. Each event space and performance will have different requirements and safety measures ❄️
Provide sheltered areas for performers, equipment, and guests. Tents are required for most outdoor entertainment and musician performances. Review your vendor’s contracts for their requirements.
Secure tents, signage, and installations against wind. Ensure signs are wind rated, or they turn into dangerous sails. What looks good when it’s inside a building may not be fun outside in the wind without preparation.
2. Cold Weather Considerations
Provide heated green rooms and warming stations. Patio heaters often do the trick for photo booths and DJs when performing outside. Green rooms must be inside with bathroom access for cold weather events.
Confirm operating temperature limits for lighting, batteries, and electronics. Battery operated items (computers, uplights, etc) tend to lose power more quickly in cold conditions.
Plan for snow removal, ice prevention, and safe walking surfaces. Will your operations team be on-site throughout the event? We recommend it. By the time they are reached by phone, drive to the venue and fix the issue, half of your event may be over.
Schedule performer breaks and weather-appropriate costumes. This is always included with Ignight’s packages ✅
3. Power & Technical Production
Confirm available electrical circuits and total power requirements. Electrical power is a science. Work with your vendor teams to confirm everyone has the proper power, circuits and outlets required for smooth service.
Arrange backup generators or battery power where needed.
Protect cables and electrical connections from foot-traffic and moisture. We have lots of cable covers!
Test audio, lighting, and interactive installations before guests arrive. This can also be done during walk thus leading up to the event date.
4. On-Site Planning & Event Management
Assign a dedicated on-site event producer. One main point of contact does a world of good.
Create a master timeline with vendor arrival and performance schedules. Send to your DJ/MC and vendor team, allowing them to prepare by sharing at least 7 days before your event.
Confirm emergency procedures, accessibility, and guest flow. ADA access is a great place to start.
5. Entertainment & Guest Experience
Position interactive activations to encourage movement and connection. Roaming performances can also guide guest’s energy and promote certain shows during the event.
Request that your entertainment partner coordinates music, lighting, performers, and transitions. Energy is created (or lost) through transitions. Vibo, our playlisting and planning app, makes this super easy - even fun!
Plan unique guest engagements during arrival, peak attendance, and departure. This is also a great way to determine when pop up performances, musicians and roaming entertainment should be scheduled.
